“Where’s my order?”
On its own, it’s a small question. A couple of minutes to answer, and everyone moves on. But in a lot of pathology networks, that question doesn’t arrive on its own. It arrives many times a day, from different people, through different channels. And answered properly, it’s rarely a couple of minutes at all.
For a Head of Ops or a Service Manager, this is one of those costs that never shows up neatly on a report. There’s no line item for “time spent chasing order statuses.” But the hours are real, and they stack up heavily across the week.
Why the question is so hard to answer
When someone asks where their order is, the answer usually isn’t in one place.
Someone has to check the internal record, then the supplier portal, then maybe an email thread, then confirm with whoever actually placed it. In a pathology network spread across multiple sites and disciplines, that trail can run cold fast. Haematology does it one way, microbiology another, the point of care team another again.
So a two-minute question turns into a ten-minute hunt. And the person doing the hunting was in the middle of something else when the phone rang.
The interruption is the real cost
Each of those calls pulls someone off task. They stop what they were doing, switch context, go digging, and then try to find their place again afterwards. The call itself was short. The disruption around it wasn’t.
Do that a handful of times a day, across a team, and you’re losing meaningful time to something that produces no output. It isn’t work. It’s the admin that surrounds the work.
Fragmented comms make it worse
Because there’s no shared view of an order, updates get passed around informally.
A status sits in one person’s inbox. A delivery date is known by one member of staff and nobody else. When they’re on leave, the information goes with them. So the same question gets asked again, and answered again, from scratch. Nothing is wrong with the people. The knowledge just isn’t anywhere everyone can reach it.
From the other side, it feels even worse. To the person waiting, the order has gone into a black hole. They can’t see it, so they chase. And every chase creates another interruption at the other end. It’s a loop that feeds itself, and it slowly wears down confidence in the service.
None of this is carelessness
It’s fragmentation. The information is scattered across systems that were never really joined up. Records for tracking and audit live in one place, often Excel. The order is completed somewhere else. And the status lives in the gap between them, which is exactly where it becomes somebody’s job to go and find it.
